What Are Notebooks?
Notebooks serve for collaborative note-taking, team communication & alignment.
Think of a Notebook as a virtual container for notes, ideas, insights, opinions… pretty much anything you’d like to share with the team or jot down for yourself.
Meeting Notes, Innovation Ideas, Success Stories, Daily Standups…? You choose!
Specific Type Of Notebook: Rhythm
Every team has its unique operating rhythm that consists of repeated activities, meetings, and rituals. Perhaps you practice Daily Standup in the mornings, or share a Weekly Retrospective on Friday, or hold a bi-weekly 1-on-1 Meeting…
Notebooks in Ayanza can be scheduled specifically for this kind of repeated team activity - we call the Notebooks that are scheduled Rhythms.
But Why Are “Team Meetings” Part Of The Note-taking Feature?
1. Output: When holding any team meeting, you usually end up with notes / next steps that need to be written down somewhere.
2. Preparation: Meetings are much more effective when attendees prepare their discussion topics, ideas, or updates to share beforehand.
3. Asynchronous communication: Meetings don’t have to happen physically all the time. It’s perfectly possible to hold meetings (e.g. Daily Standup) asynchronously by answering a set of pre-defined questions and sharing the answers with other team members.
BASICS
Create A New Notebook
STEP 1: Add a New Notebook
To add a new Notebook to your Ayanza, navigate to the NOTEBOOKS section in the left main navigation bar and click on the +
button.
STEP 2: Setup Notebook
Name: Give your Notebook a proper name.
Note Templates (optional): Choose a template for notes within the Notebook (read more below).
Permissions: Open Notebook for anyone to join, or Closed Notebook only for its members?
Members: Choose initial Notebook members.
Schedule Notebook As Rhythm
Step 1: Add a New Notebook
Selecting whether a Notebook is a Rhythm or not happens in the initial setup described above ⬆️.
Step 2: Schedule as Rhythm
Switch the “Schedule as Rhythm“ option ON to schedule Notebook as a Rhythm.
Step 3: Set Frequency
Pick when and how often the Rhythm should repeat (this will ensure that the Rhythm members are always reminded to fill in the Rhythm note).
Add A Note To Notebook
Add a Note to the Notebook via the “+ Note“ button in the top-right corner (1) or by clicking on the main input field at the top of the Notebook feed (2).
Edit / Archive A Note In Notebook
To Edit an Existing Note
Click on the “✏️” in the top-right corner of the Note.
To Archive an Existing Note
Click on the “•••“ in the top-right corner of the Note and pick the “Archive“ option at the bottom.
Set A Template For Notes In Notebook
You can set multiple Templates for your Notes within a Notebook → this means that when creating a new Note within the Notebook, you will be able to pick one of the Templates as a structure of your Note.
Step 1: Set a Template
To create & set Templates for Notes click on “⌄“ next to the “+ Note“ button and then on “+ New Template“. There you can pick a template from the library, or create your own.
Step 2: Use the Template
To apply a created Template to a Note simply click on the one you want when adding a new Note to your Notebook.
Setting a Note Template is especially useful for Rhythms → browse the Rhythm Templates Library to find out more.
Scroll Through the Notebook
The main feed you see in your Notebook is ordered chronologically, so the most recently created notes are at the top.
To view all the Notes in detail you can scroll down the Notebook’s main feed.
Alternatively, you can use the minimalized feed located on the right side of your screen for a better overview of all Notes. To view a specific Note in the main feed, simply click on it and you will get scrolled down to it automatically.
